To make your holiday trip as successful as possible, it is important that you read the information on this page.
Here you will find information on everything from hotel categories and room types to vaccinations and visas, plus much other information that is important to have the right expectations before the trip and avoid misunderstandings.
1. The Agreement
The agreement includes information about the current travel arrangement including the hotel description, “important to know” which is available on Ving.se or can be ordered from Ving, the booking confirmation that the traveler receives from Ving and the Standard Form for Package Travel Agreement which is attached to the booking confirmation and can be read on Ving.se.
1.1
The agreement becomes binding on the parties when the organizer has confirmed the traveler’s order in writing, unless otherwise agreed. The organizer must confirm the traveler’s order without delay. The right of withdrawal does not apply to package travel agreements.
1.2
The lead traveler is the person in whose name the agreement has been made. The lead traveler is stated first in the travel documents or in another clear manner. The lead traveler is responsible for payment according to the agreement. All changes and any cancellations must be made by the lead traveler. Exceptions can be made if the lead traveler becomes seriously ill and is unable to carry out the change or cancellation. The lead traveler is responsible for providing the organizer with correct booking information for other travelers covered by the agreement. Any refund will be made to the lead traveler.
1.3
If the traveler is under 18 years of age and traveling without a guardian, this must be stated at the time of booking. Some trips may require an age limit that may be higher than 18 years. Information will be provided at the time of booking.
1.4
The departure and return times in the booking confirmation are preliminary. The organizer must specify the departure times that will apply to the trip as soon as possible and if possible no later than 20 days before departure.
For scheduled flights, departure times may change at short notice.
Special conditions apply for long holidays.
1.5
The organizer shall provide general information about passport and visa requirements.
1.6
Any wishes or special services requested by the traveler are only included in the agreement if these have been expressly confirmed in writing by the organizer.
1.7
The traveler is obliged to check the booking confirmation/travel documents as soon as they are received and that all information is correct, including that the name is spelled correctly and matches the passport. Any errors must be reported as soon as possible. The organizer reserves the right to charge a fee corresponding to the actual cost of correcting incorrect information, plus reasonable compensation for the additional work that the correction entails. If the error is due to the organizer or someone hired by it, the correction shall be made at no cost to the traveler.
1.8
The main traveler must immediately notify the organizer of any changes to address, email address, telephone number or other information of importance to the organizer’s ability to contact the traveler.
1.9
For some trips, a minimum number of participants is required in order for the trip to take place. In such cases, the traveler must receive clear information about this at the latest at the time of booking.
- For charter trips, the following minimum number of participants applies for the trip to take place:
- The trip may be canceled if less than 15% of the charter trips to the same destination are booked at least 6 months before departure.
- The trip may be canceled if less than 40% of the charter trips to the same destination are booked no later than 3 months before departure.
- If a trip that is canceled as described above is part of a series of trips, other trips that are part of the same series may also be canceled.
2. Price and payment
2.1
The price must be stated in such a way that the price of the entire trip is clearly stated. The price must include all services included in the contract as well as mandatory supplements, taxes and fees.
2.2
If the traveler does not pay the price of the trip in accordance with the agreement, the organizer has the right to cancel the agreement and charge reasonable compensation. The traveler must be able to show complete payment before departure.
2.3
Unless otherwise expressly stated, the price of the trip is based on accommodation for two people in a shared double room. In the event of accommodation for only one person in a double room or larger rooms intended for more than one person, the organizer has the right to charge a surcharge.
2.4
The organizer is also obliged to inform the traveler about any costs that may arise.
3. The traveler's right to change and cancel
3.1
The traveler has the right to change the agreement if the organizer allows this. Changes to the agreement may result in additional costs for the traveler from the organizer or others.
If the agreement is changed by the traveler, e.g. by changing the departure location, departure date or travel length, it is counted as a cancellation and a new booking according to the price applicable at the time of rebooking. When rebooking earlier than 40 days before departure, the rebooking fee is 50% of the registration fee. When rebooking 40 days before departure or later, a rebooking fee is charged in accordance with the applicable cancellation terms. For travelers who have signed up for cancellation and rebooking protection, the terms of the protection apply.
3.2
The traveler has the right to cancel the trip. The organizer reserves the right to request compensation from the traveler for the costs incurred by the organizer as a result of the cancellation.
The organizer may set reasonable standard cancellation fees based on the time of cancellation. If the organizer has not set any standard cancellation fees, the organizer is entitled to a reasonable cancellation fee.
3.3
Travelers who have not taken out cancellation and rebooking protection have the right to cancel a trip in accordance with sections 3.4-3.6. Travelers who have taken out cancellation and rebooking protection are subject to the terms and conditions of the protection.
Rebooking later than 40 days before departure is considered a cancellation and booking of a new trip.
3.4 Cancellation fee and rebooking fee
If cancelling earlier than 40 days before departure, the traveler must pay the registration fee as a cancellation fee.
If the cancellation is made later than 40 days before but earlier than 30 days before departure, the traveler must pay 25% of the trip price as a cancellation fee, but not less than the registration fee.
If the cancellation is made later than 30 days before but earlier than 7 days before departure, the traveler must pay 50% of the trip price as a cancellation fee, but not less than the registration fee.
If cancelled later than 7 days before departure, the traveler must pay the full price of the trip.
3.5 Cancellation of additional arrangements
For trips made by charter flight, the cost of additional arrangements (e.g. excursions, golf packages or similar) booked through Ving and related to the trip will be refunded if the traveler cancels the trip no later than 14 days before departure.
3.6 Cancellation of regular trips
When canceling package holidays and scheduled flights, the traveler must pay the registration fee as a cancellation fee. In addition, the airline’s cancellation and refund terms and conditions apply. Such trips are often non-refundable. Some tours and other arrangements may allow for refunds. Taxes and fees are never refunded.
